How to switch without downtime
- Register, add your rooms and create front desk users.
- Place QR codes in a first group of rooms and keep the existing phones in place.
- Train reception on the dashboard: answering calls, Do Not Disturb, and tickets.
- Extend to more rooms. Retire the PBX only when you are ready.
What changes, and what to plan for
- Guests need internet access. Hotel Wi-Fi or mobile data both work. If Wi-Fi fails, guests can still connect over mobile data.
- Guests without a smartphone. Pair an in-room tablet as a room device.
- Missed calls. If reception does not answer in about one minute, the guest sees "Not available" and can chat or raise a request. Reception can call back, and the guest sees a "Missed call / Call back" prompt.
- iPhone call-backs. A locked iPhone, or a browser tab in the background, cannot ring. Guests should keep the page open while they wait.
- Internal calls only. FrontDeskLync connects guests and staff. It does not place calls to outside numbers.
- Emergencies. SOS alerts your staff instantly with the room number. It does not contact public emergency services, so keep your emergency procedures and numbers on display.
Frequently asked questions
What is the difference between a hotel PBX and browser calling?
A PBX routes calls between wired room handsets and reception through an on-site exchange. Browser calling connects the guest's own phone browser to the front desk dashboard over the internet. Nothing is installed in the room.
Can we switch without downtime?
Yes. Move room by room and keep the existing phones running during the switch.
Does FrontDeskLync handle outside calls or emergency numbers?
No. It connects guests with hotel staff. The SOS button alerts staff instantly, but it does not call public emergency services.
