Hotel intercom software

Cloud hotel intercom without a PBX, room phones or wiring

FrontDeskLync is a cloud hotel intercom. Guests scan the QR code in their room and call the front desk from their own phone browser. They can also chat and raise service requests there. Staff answer from a browser dashboard. There is no PBX box, no handset per room, no cabling and no app for guests to install.

What FrontDeskLync does

Guest-to-front-desk calling

Guests call reception with one tap. Calls use WebRTC audio over the internet and are encrypted in transit. Staff see the room number before they answer.

Front-desk-to-guest calling

Reception can call a room back. If the guest misses the call, they see a "Missed call / Call back" prompt.

Live chat with translation

Guests and staff chat in real time. Chat translation detects the guest's language and translates staff replies back into it (plan dependent).

Service requests as tickets

Every call, chat or tap can become a ticket with a room, department, priority and status. Tickets sit on a Kanban board and escalate when they are overdue.

SOS alerts

Guests can press SOS at any time during their stay. The front desk and branch admin are alerted immediately with the room number.

Call history and reports

Calls and their durations are logged. Reports show request volumes, response and resolution times, and staff performance.

Which hotels it suits

FrontDeskLync suits independent hotels, serviced apartments, resorts and multi-branch hotel groups that want to:

  • Avoid buying, cabling or upgrading a PBX/EPABX and room handsets.
  • Stop paying an annual telecom maintenance contract.
  • Track guest requests instead of writing them in a register.
  • Run several branches from one account. The number of branches depends on the plan.

How guests call reception and how staff answer

  1. Guest scans the room QR code. FrontDeskLync opens in the phone's browser and is linked to that room and the active stay.
  2. Guest taps Call. The front desk dashboard rings and shows the room.
  3. Staff answer or decline. Staff can also set Do Not Disturb. If nobody answers in about one minute, the guest sees "Not available" and can send a chat or request instead.
  4. Follow-up becomes a ticket. Staff can raise a ticket for housekeeping, maintenance, room service, concierge or valet, so the request is not lost.
  5. Access ends at checkout. The guest session stops working after checkout, and the next guest starts a fresh session.

Requirements

GuestsA smartphone with a modern browser and internet access (hotel Wi-Fi or mobile data). An in-room tablet can be paired as a room device for guests without a smartphone.
StaffA computer or tablet with a modern browser, and a headset or microphone for calls.
On-site hardwareNone. 8 Bytes Technology hosts and updates the platform.
Network restrictionOptionally limit guest access to the hotel's Wi-Fi or IP ranges (plan dependent).

Limitations to plan for

  • Internet is required. If hotel Wi-Fi is down, guests can still connect over mobile data. Staff need a working connection to answer.
  • iPhone call-backs. A locked iPhone, or a browser tab in the background, cannot ring. Guests waiting for a call back should keep the page open. Chat and tickets do not depend on this.
  • Emergencies. SOS alerts your own staff instantly. It does not call public emergency services, so keep your existing emergency procedures and numbers on display.

Setup

  1. Register and choose a plan. You can start on the free trial plan.
  2. Add branches and rooms, then create front desk users.
  3. Configure request types for each department.
  4. Print the room QR codes and place them in the rooms.

Pricing is a monthly subscription per plan, shown on the pricing table. Larger groups can ask for dedicated infrastructure, with an isolated database and dedicated call servers, on a custom quote.

Frequently asked questions

What is cloud hotel intercom software?

It connects guest rooms to the front desk over the internet instead of through a PBX and wired room phones. With FrontDeskLync, guests use their own phone browser and staff use a browser dashboard.

Do guests need to install an app?

No. The room QR code opens FrontDeskLync in the mobile browser. Guests do not need an app or an account.

Can we keep our existing room phones while we switch?

Yes. You can move over room by room and keep the existing phones during the switch, so there is no downtime.

What happens if a guest does not have a smartphone?

Pair an in-room tablet as a room device. The guest can then call and raise requests from the tablet.
